EduFMS was built in response to a problem familiar to anyone who has worked in or with an Indian educational institution: the administrative workload is fragmented, manual, and disconnected from the digital infrastructure that modern operations demand.
Schools manage admissions in one tool, fees in another spreadsheet, attendance on paper registers, and parent communication over personal WhatsApp accounts. This patchwork creates compliance gaps, data risks, and a significant burden on already-stretched administrative staff.

Privacy Policy

This Privacy Policy describes how EduFMS (operated by Abhishek, sole proprietor trading as EduFMS, hereinafter "EduFMS", "we", "our", or "us") collects, uses, stores, and protects the personal data of users of the EduFMS platform at edufms.in.
This Policy is compliant with India's Digital Personal Data Protection Act (DPDPA) 2023. EduFMS acts as the Data Fiduciary responsible for determining the purpose and means of processing personal data.
1. Information We Collect
- School Administrator Data: Name, email address, phone number, and institutional affiliation.
- Teacher Data: Name, designation, contact details, and class assignments.
- Student Data: Name, date of birth, class and section, academic records, attendance history, fee payment status, and guardian information.
- Parent / Guardian Data: Name, phone number (including WhatsApp number), and relationship to the student.
- Fee and Financial Records: Fee structure details, payment history, outstanding dues, and receipt information.
- Communication Logs: Records of messages sent via the platform's WhatsApp integration.
- Technical Data: Device type, browser, IP address, and session logs.
- Mobile App Data (EduFMS Parent app): Sign-in tokens stored securely on your device to keep you logged in, and a push-notification token (via Google Firebase Cloud Messaging) if you enable notifications. The app does not collect your device location, contacts, photos, or camera/microphone data.
2. Purpose of Processing
- Operating and delivering the EduFMS school management platform to the subscribing institution.
- Managing student admissions, attendance records, academic progressions, and fee transactions.
- Facilitating authorised communications between the school and parents/guardians.
- Delivering One-Time Passwords (OTPs) for secure authentication.
- Generating administrative reports and analytics for school management purposes.
- Complying with applicable Indian laws and regulatory requirements.
3. Third-Party Processors and WhatsApp Integration
- Meta Platforms, Inc.: To facilitate real-time service notifications and OTP delivery, EduFMS utilises the WhatsApp Business API provided by Meta Platforms. By opting in to WhatsApp communication through EduFMS, you acknowledge that your phone number and necessary message content will be transmitted through Meta's secure infrastructure, subject to Meta's own Data Policy. Only transactional and service notifications are sent through this channel.
- Cloud Infrastructure Providers: EduFMS data is hosted on enterprise-grade cloud infrastructure. Details available on request.
- MSG91: Used to deliver One-Time Passwords (OTPs) and transactional SMS notifications. Your phone number and the message content are transmitted through MSG91 solely for this purpose.
- Google LLC: Used to provide secure "Sign in with Google" (OAuth) authentication for school staff. Only your basic Google account identity (email address and name) is received to verify your sign-in.
4. Consent and WhatsApp Communication
EduFMS sends WhatsApp messages only where explicit, affirmative consent has been obtained via a clear, unbundled opt-in checkbox:
"I agree to receive platform updates, OTPs, and service notifications from EduFMS via WhatsApp. I understand I can opt out at any time by replying STOP."
Users may withdraw consent at any time by replying STOP to any EduFMS WhatsApp message, or by writing to abhi@edufms.in.
5. Data Security Safeguards
- All data stored on EduFMS servers is encrypted at rest using AES-256 encryption.
- All data in transit is protected by TLS 1.3 (HTTPS).
- Access is controlled through role-based permissions with strong authentication requirements.
- Access logs and audit trails are maintained for security monitoring.
6. Data Retention
EduFMS retains personal data for as long as the subscribing institution maintains an active account, or as required by applicable Indian law. Upon account termination, data is archived for 90 days before deletion.
7. Data Principal Rights (DPDPA 2023)
- Right to Access: Request a summary of your personal data held by EduFMS.
- Right to Correction: Request correction of inaccurate or incomplete data.
- Right to Erasure: Request deletion of your personal data, subject to legal retention obligations. Parents using the EduFMS Parent app can delete their account immediately in the app (My Kids → Delete my account), or via edufms.in/delete-account.
- Right to Grievance Redressal: Raise a grievance regarding the processing of your personal data.
To exercise any of these rights, submit a written request to abhi@edufms.in. We will respond within 30 days.
8. Cookies and Technical Data
The EduFMS website uses functional cookies for secure session management. We do not use tracking cookies for advertising. Manage cookie preferences through your browser settings.
9. Data Sharing and Disclosure
EduFMS does not sell or rent personal data to third parties. Data is shared only with authorised processors (Section 3), with law enforcement when required by Indian law, or in connection with a business transfer where users will be notified.
10. Changes to This Policy
EduFMS may update this Privacy Policy from time to time. Material changes will be communicated via email to subscribing institutions. Continued use after notification constitutes acceptance.

These Terms of Service ("Terms") govern the access to and use of the EduFMS platform and all associated services provided by Abhishek, sole proprietor trading as EduFMS ("EduFMS", "we", "our", or "us"), operating at edufms.in.
By accessing or using EduFMS, the subscribing educational institution ("Client", "School", or "User") agrees to be bound by these Terms.
1. Description of Service
EduFMS is a cloud-based school management and education ERP platform providing tools for admissions, attendance, fee collection, parent communication, academic records, and related administrative operations for educational institutions in India.
2. Account Registration and Access
- Access is granted to authorised personnel of the subscribing institution only.
- The Client is responsible for maintaining the confidentiality of login credentials.
- The Client must provide accurate, current, and complete information during registration.
- Accounts must not be shared with or transferred to parties outside the subscribing institution without prior written approval.
3. Acceptable Use Policy
- Transmitting unsolicited, spam-like, or bulk promotional communications is prohibited.
- Sending messages violating Meta's WhatsApp Business Messaging Policy or TRAI regulations is prohibited.
- Reverse-engineering, decompiling, or extracting the platform source code is prohibited.
- Circumventing or attempting to circumvent the platform's security controls is prohibited.
4. WhatsApp Integration — Consent and Compliance Obligations
- The Client (School) is solely responsible for obtaining valid, affirmative, and explicit consent from each parent, guardian, or staff member before enabling WhatsApp communication.
- By utilising the WhatsApp integration, the Client affirms compliance with Meta's Business Messaging Policy, TRAI regulations, and India's DPDPA 2023.
- WhatsApp communication must be limited to service notifications, attendance alerts, fee reminders, OTP delivery, and official school communications.
- The Client assumes full liability for any violation of consent obligations and the consequences thereof.
5. Intellectual Property
The EduFMS platform, including its software, design, and documentation, is the exclusive intellectual property of Abhishek, sole proprietor trading as EduFMS. The Client retains ownership of all institutional data submitted to the platform.
6. Data and Privacy
Data handling is governed by our Privacy Policy, incorporated into these Terms by reference.
7. Fees and Payment
Subscription fees are agreed upon in the service agreement between EduFMS and the subscribing institution. Subscription fees are charged on a per-student basis and billed annually, as set out in the service agreement with each institution. Fees are non-refundable except as expressly stated in the service agreement.
8. Limitation of Liability
To the maximum extent permitted by applicable Indian law, EduFMS and its affiliates shall not be liable for any indirect, incidental, or consequential damages arising out of the use of the platform. Total liability to any Client shall not exceed the total fees paid by that Client in the three months preceding the event giving rise to the claim.
9. Indemnification
The Client agrees to indemnify and hold harmless EduFMS from any claims arising from: (a) violation of these Terms; (b) failure to obtain valid WhatsApp communication consent; or (c) violation of applicable law.
10. Suspension and Termination
- EduFMS may suspend or terminate access immediately if the Client violates these Terms or fails to pay applicable fees.
- Upon termination, the Client's data will be available for export for 30 days, after which it will be deleted per our Privacy Policy.
11. Governing Law and Dispute Resolution
These Terms are governed by the laws of the State of Andhra Pradesh, India. Any dispute shall be subject to the exclusive jurisdiction of the courts of Kanigiri, Andhra Pradesh.
12. Modifications to Terms
Material changes will be communicated with at least 30 days' notice. Continued use constitutes acceptance.
